HighLevel Project Management: What It Is, Why It Matters and How to Use It
Short answer: Project Management adds a task and project workspace inside each sub-account. Work is organized into Spaces, optional Folders, Lists, tasks and subtasks, with statuses, one assignee, dates, priorities (Low to Urgent), descriptions, comments and custom fields per Space. Tasks can link to contacts and opportunities, and you can switch between Kanban and List views.

- “Plan, assign, and track work in one place.”
Why Project Management matters
Agencies and small teams usually run delivery in a separate tool like Asana or ClickUp, so client work lives away from the CRM. Keeping tasks next to the contact and deal removes a subscription and a constant context switch.
How to take advantage of Project Management
- Create one Space per team or service line, and set its statuses before adding tasks, because they become your Kanban columns.
- Link every delivery task to the client's contact or opportunity so anyone can see the work in context.
- Use custom fields per Space for things like job address, ticket size or deliverable type.
- Make a Space private for internal work and share it only with named team members.
Top 3 questions about Project Management
Does HighLevel have project management?
Yes. HighLevel's Project Management organizes work into Spaces, Folders, Lists, tasks and subtasks, with Kanban and List views, linked directly to contacts and opportunities. It's listed as a Founder Plan feature.
Where do I find Project Management in HighLevel?
In a sub-account, go to Contacts and open the Tasks tab. HighLevel says it's in Private Beta and rolling out gradually, so it may not appear in every account yet.
Can HighLevel Project Management replace Asana or ClickUp?
For many agencies, yes for day-to-day delivery: it has nested Spaces and Lists, subtasks, assignees, priorities, custom fields and Kanban. Teams that rely on advanced dependencies or resource planning should compare before switching.
How Project Management compares
For agencies whose work starts from a HighLevel deal, Project Management removes a separate tool and keeps delivery next to sales. Teams that need Gantt charts, dependencies or resource planning should keep Asana, ClickUp or monday.com for now, since HighLevel's version is still in beta. See Project Management vs Asana, ClickUp, monday.com.
Using AI agents with Project Management
Agents can turn a Won opportunity into a delivery checklist: an n8n or Claude Code job reads the deal and creates the matching tasks, so onboarding starts the moment the sale closes. Browse agent setup guides.
